ShockieWockie Privacy Policy
1. Overview
ShockieWockie is a Discord bot used for crew management. This policy explains what data the bot stores and how it is used.
2. Data Collected
The bot may store the following information when used in a configured Discord server:
- Discord user IDs, guild IDs, channel IDs, message IDs, thread IDs, and role IDs needed for bot operation.
- Roblox usernames and crew profile information.
- Daily and weekly commitment settings, submitted progress, rating values, scores, streaks, consistency, strikes, and review status.
- Proof submission records, including Discord attachment URLs or evidence links submitted to the bot.
- Application responses, absence requests, daily excuse requests, review notes, and officer audit logs.
- Optional user settings such as timezone and device platform selections.
3. How Data Is Used
Data is used to operate crew application review, commitment tracking, proof verification, absence handling, reminders, reports, leaderboards, profile pages, officer audit trails, and related moderation workflows.
4. Who Can Access Data
Some data is visible to crew members through profile, leaderboard, check, FAQ, and policy commands. More detailed application, submission, absence, audit, and moderation data is available only to configured officers or administrators.
5. Data Storage
Production data is stored in a managed database used by the bot. Discord attachment URLs may continue to be accessible according to Discord's own storage and access behavior. The bot does not intentionally collect payment information, real names, addresses, or other sensitive personal information.
6. Data Retention
Data may be retained while it is useful for crew history, audit logs, application history, submission history, season archives, or moderation records. Some data may be kept after a member leaves so server staff can preserve accurate crew records.
7. Data Removal Requests
Users may request review or removal of their stored data by contacting the bot owner or server administrators in the Discord server where ShockieWockie is used. Some records may be retained when needed for moderation, audit, abuse prevention, or crew history.
8. Third-Party Services
The bot operates through Discord and may use Cloudflare services for hosting and database storage. Use of Discord is also governed by Discord's own Terms of Service and Privacy Policy.
9. Changes
This policy may be updated as bot features or hosting change. The effective date will be updated when material changes are made.
